Description
Senior Officer: Office Administrator
Duration: 2-year contract
The South African Medical Research Council’s South African Population Research Infrastructure Network (SAPRIN) requires a suitably qualified and experienced Office Administrator. The office administrator would be responsible for travel arrangements, booking of meetings, following up on outstanding reports, organizing events and functions, liaising with SAMRC departments for support in finances, human resources, legal services, communications, and supply chain management. The incumbent will also be responsible for administrative support e.g. general administration, ordering and procurement, processing of subsistence and travel allowances for local and international claims.
Responsibilities:
- Plan, coordinate, and manage all logistical and operational aspects of the SAPRIN office.
- Liaise with SAMRC Facilities Management regarding maintenance of office space and monitor equipment and inventory (asset control).
- Diary management and secretarial services to SAPRIN leadership and team.
- Prepare and monitor budget and expenses and compile, reconcile, and review financial statements.
- Plan and arrange research/scientific meetings which would include preparation of agenda and minutes.
- Prepare budgets, procure venue and travel related to internal/external events, conferences, and workshops.
- Interaction and liaison with internal and external stakeholders.
- Administer the procurement of goods and services on JDE.
- Process S&T and advance claims for unit staff.
- Process research grant payments.
- Request and collate research outputs from SAMRC grantees.
Core Requirements:
- Grade 12/Matric and 1–2-year National Higher certificate or a Secretarial diploma or similar qualification or higher.
- 3-5 years minimum post-qualification relevant administration experience.
- Proficient in MS Office, MS Outlook, Adobe, and the internet.
Advantages:
- 3-year qualification (National Diploma / B Degree) in a relevant discipline.
- 5-year post-qualification relevant administration working experience.
- Knowledge or experience of JD Edwards on-line procurement system, regarding procurement of goods and services in line with Supply Chain Management processes.
- Working knowledge of the policies and processes of the SAMRC including National Treasury Guidelines, which govern SAMRC.
Personal Attributes:
- Willing to travel within South Africa when required.
- Excellent communication skills.
